4.    Which personal data is processed and where does it originate from?

Münze Deutschland processes personal data such as your name, address, telephone number, or e-mail address only if you provide this data voluntarily, for example during registration, when you place an order online, or if you reserve a product online. If you place an order in our shop, your purchase data such as your address data, bank details, order and purchase history are stored for the period of time customary under commercial law.

Customer contact information: Within the business initiation phase and during the business relationship, in particular through personal, telephone or written contacts, initiated by you or by us when querying your order, additional personal data such as information about contact channel, date, occasion and result, (electronic) copies of written correspondence as well as information about participation in direct marketing campaigns is also generated.

4.a    Use of the website

When you call up this website, a consent banner informs you that technically required cookies are being set to ensure that the website can be used without any technical issues.

When you call up this website offer and navigate within it, the following personal data (essential technologies) are collected:

•    Decision about the cookie settings with the date and time when the cookie was called (timestamp)
•    Search terms entered
•    The number of items in the shopping cart and the last viewed article

By using the analysis interface from Adobe, authorized representatives of the Federal Office of Administration can access the data that is stored by Adobe for this portal, especially for this task. By examining this data, they can analyze the browsing activity of visitors as a whole. By using the data obtained, the Federal Office of Administration is able to compile information about how the individual components of this website are used.

4.d Subscription to a newsletter

This website enables users to subscribe to a free newsletter. Their e-mail address, title, and first and last name are saved for this purpose. The customer group is used to send different newsletters to dealers and private customers, depending on their requirements. A date and timestamp of the double opt-in registration (see below for an explanation) and a possible cancellation is stored as proof.

For legal reasons, a confirmation mail is sent to the e-mail address that was entered by a data subject for the first time for receiving the newsletter in the double opt-in procedure. This confirmation mail checks whether the owner of the e-mail address as the data subject has authorized the receiving of the newsletter. The personal data that is collected (e-mail address and subscribed topics) are used exclusively for providing the required service. No data are passed on to third parties.

The data subject can unsubscribe from the newsletter at any time. Consent to the storage of personal data, which the data subject provided to us for receiving the newsletter, can be withdrawn at any time. A corresponding link is included in each newsletter for the purpose of withdrawing your consent.

4.e Contact via e-mail and use of the contact form on the website

Due to statutory regulations, this website contains information that enables fast electronic contact with the customer service team at Münze Deutschland, which also comprises a general electronic mail address (e-mail address).

If contact is made via the contact form on the website, then only the e-mail address, title, first and last name, and the subject and the message text are mandatory fields (labelled in bold) and thus intended for storage. The remaining fields on the contact form on the website (customer number, telephone, order number) are optional. If they are completed, the content of the fields is also saved.

When the contact form is submitted when the “Send Request" button is pressed, the customer service team at Münze Deutschland will use the personal data you entered merely to communicate with you and to process your request.

Should the customer service team at Münze Deutschland receive a message from you via the contact form, it is assumed that you require a reply to this by e-mail. Communication via e-mail is unencrypted and can be viewed by third parties. If you do not require a reply by e-mail, please use a different method of communication.

4.f Hyperlinks to other providers:

The Federal Office of Administration has not incorporated any components of social media on the website www.shop.muenze-deutschland.de.

4.g For which purposes are cookies used?

5.    For which purposes and on which legal basis are data processed?

5.a    Purpose of processing

The Münze Deutschland shop is the sales point for the official collector coins from Münze Deutschland. This involves direct sales to private and commercial customers. The Federal Office of Administration is responsible for procuring the coin blanks and distributing stamping orders to the Mints.

5.b    Legal basis for data processing

The processing operations are based on the following legal principles:

☒     If the Federal Office of Administration obtains consent from the data subject for processing operations, the data processing is based on Art. 6(1) lit. a GDPR. To the extent that you have granted consent to the processing of personal data for certain purposes (e.g. transferring data to third parties [e.g. delivery services], evaluation of data for marketing purposes, receiving the newsletter), the legitimacy of this processing is given based on your consent. This consent can be withdrawn at any time.

☒     For the processing of personal data that is required for the fulfilment of a contract whose contractual party is the data subject, Art. 6(1) lit. b GDPR shall also serve as the legal basis. This applies to the performance of our contracts with our customers as well as reservations and subscriptions that are made at their request.

☒     If the Federal Office of Administration processes personal data to fulfil its tasks in the public interest or in the exercise of its official authority, the processing of this data is based on Art. 6(1) lit. e GDPR and § 3 BDSG within the meaning of Section 25(2) TTDSG Item 2 (Setting of technically required cookies)

6.    Who receives your data or to whom is it forwarded?

You data will be used exclusively in connection with the operation of shop.muenze-deutschland.de (for the provision of information and purchases associated with this and, if you agree, to analyze user behavior). The data will be forwarded only if the Federal Office of Administration is legally obliged to do so, or if disclosure of the data is necessary for legal or criminal prosecution.

Within Münze Deutschland, the offices that need your data for fulfillment of our contractual and legal obligations are given access to your data. Service providers and vicarious agents used by us may also receive data for these purposes. They are also contractually obliged to comply with data protection regulations. These include, e.g. companies in the categories of IT services, logistics, print services, consultation as well as sales and marketing.

Your data will not be forwarded for commercial purposes.

7.    Are your data transmitted to a third country or outside of the area to which the GDPR applies?

Data shall only be sent to offices in countries outside the European Union (so-called third countries) to the extent that it is necessary for the execution of your orders and for sending the goods to these countries.

If you have agreed to the web analysis, only the servers at the locations in London and Cardiff for the backup are used for Adobe Analytics. For the UK, an adequacy decision was issued in June 2021 in accordance with Art. 45 GDPR, whereby the UK was recognized as a safe third country.

8.    For how long will your data be stored?

Your personal data will be stored for as long as is necessary to fulfil the purposes specified, or if the following retention period(s) require it to be stored for longer.

If the data is no longer required for the fulfillment of contractual or legal obligations, customer data (such as name, address, telephone number or shipment details) and contact requests will be deleted four years after the last customer contact; billing and accounting data will be deleted after 11 years, unless their – temporary – further processing is required for the following purposes:

Fulfillment of commercial and tax law retention obligations, which can result from e.g.: German Commercial Code (Handelsgesetzbuch, HGB), German Fiscal Code (Abgabenordnung, AO), German Money Laundering Act (Geldwäschegesetz, GwG). The periods specified there for data retention or documentation are two years.

Retention of evidence for claims arising from an order in the context of statutory limitation periods. In accordance with Section 195 et seq. of the German Civil Code (Bürgerliches Gesetzbuch, BGB), these limitation periods can be up to 30 years, although the standard limitation period is three years.

Cookies that are stored for the “session” duration will be deleted at the end of the session.
Cookies for documenting consent to the Adobe web analysis (marketing technologies) and for the user’s consent to data collection purposes (functional technologies) will be deleted after 30 days.

If you have given your consent to receiving the newsletter, your data will be stored until you withdraw your consent.

9.    Data subject rights

You have the following rights under the GDPR: You can assert these with the data protection Controller listed under point 2.

9.a    Right of access – Art. 15 GDPR

With the right of access, the data subject affected by the data processing is given access to the data relating to them, as well as other important criteria such as the purpose for which the data is being processed, or for how long the data is stored. The exceptions to this law regulated in Section 34 BDSG shall apply.

9.b    Right to rectification – Article 16 GDPR

The right to rectification includes the option for the data subject to have incorrect personal data relating to them corrected.

9.c    Right to erasure – Article 17 GDPR

The right to erasure includes the option for the data subject to have data deleted by the Controller.

However, this is only possible if the personal data relating to them is no longer necessary, if it is processed unlawfully, or if consent relating to this data has been withdrawn. The exceptions to this law that are regulated in Section 35 BDSG shall apply.

9.d    Right to restriction of processing – Article 18 GDPR

The right to the restriction of processing includes the option for the data subject to prevent the personal data relating to them from being processed further for the time being. The restriction applies in particular during the audit phase when other rights are exercised by the data subject.

9.e    Right to data portability – Article 20 of the GDPR

The right to data portability includes the option for the data subject to obtain the personal data relating to them in a common, machine-readable format from the Controller so that they can have it forwarded if necessary to a different Controller.

This right is not available if the data processing serves the fulfillment of public tasks.

9.f    Right to object – Art. 21 GDPR

The right to object includes the option for a data subject to object to the additional processing of their personal data for the fulfilment of public tasks or legitimate public and private interests, for reasons relating to their specific situation. The exceptions to this law regulated in Section 36 BDSG shall apply.

9.g    Right to lodge a complaint – Art. 77 GDPR

Without prejudice to any other administrative or judicial remedy, you as the data subject shall have the right to lodge a complaint with a supervisory authority, in particular in the Member State of your habitual residence, place of work or place of the alleged infringement if you consider that the processing of personal data relating to you infringes the GDPR.

9.h    Right to withdraw consent – Article 7(3) GDPR

If the processing of your personal data is based on your consent, you have the right to withdraw that consent at any time with effect for the future. You can revoke your consent at any time with effect for the future by using the following “Consent Settings” link.



This does not affect the lawfulness of the data processing carried out based on your consent until you revoked it.

You can withdraw your consent to receive the newsletter at any time. A corresponding link to unsubscribe is included in each newsletter for the purpose of withdrawing your consent.

10.    Necessity of the data processing

The processing of personal data by Münze Deutschland is required for the following tasks and areas:

•    Providing information to Münze Deutschland
•    Establishing, performing, and terminating a business relationship with Münze Deutschland
•    Complying with the contractual and statutory obligations of Münze Deutschland

Without this data, Münze Deutschland will be unable to complete, execute, and terminate a contract with you.

11.    Are decisions made automatically? – Art. 22 of the GDPR.

We do not use any fully automated decision-making in accordance with Article 22 of the GDPR to justify and implement the business relationship.
